Rental Terms and Conditions – FAQ
AGE & OCCUPANCY REQUIREMENTS
- The Guest responsible for booking must be at least 25 years of age and present for the duration of the stay.
- Occupancy is limited to the maximum stated in the property listing.
- No parties, events, or large gatherings are permitted.
- No exceptions to the above policies can be accommodated.
CANCELLATION POLICY
- More than 30 Days Prior to Arrival: Cancellations will receive a full refund, less a 5% processing fee.
- Within 30 Days of Arrival: No refunds will be issued unless the Property is rebooked for the same dates and rate. If the property is rebooked, the cancelled reservation will be subject to a 5% processing fee.
- Owner Cancellations: The Property owner reserves the right to cancel up to 30 days before arrival; in such cases, all payments will be fully refunded.
CHECK-IN / CHECK-OUT
- Check-In: After 4:00 PM on the arrival date.
- Check-Out: By 10:00 AM on the departure date.
- Instructions: Arrival details will be provided seven (7) days before check-in.
- Early/Late Access: May be approved at Agent’s discretion during the week of arrival.
CLEANING & TRASH
Guest is required to leave property in the same general condition as found prior to the arrival date. If necessary, excess cleaning fees may be charged to guest after departure. It is appreciated by the cleaning staff if property is equipped with washer and dryer to start a load of towels and the dishwasher if applicable.
For non-condominium properties, guest must bag all trash and leave in supplied outdoor trash bins. If outdoor bins are not accessible or available, guest must leave trash bagged and next to property entrance. For condominium properties, guest is responsible to dispose of trash in parking dumpster generally located in condominium association parking lot.
CONSTRUCTION AROUND PROPERTY
Maine Ski Lodging Co. and property owner are not responsible for any reimbursements or relocation of guest to an alternative property due to construction in the vicinity of the Property.

COVID-19 WAIVER
Guest acknowledges the risks associated with COVID-19 and assumes all responsibility for potential exposure or illness. Guest agrees to release and hold harmless the Property owner and Agent from all related claims.
DAMAGE & REPORTING
- Guest is responsible for any damage caused during the stay.
- All existing damage or maintenance issues must be reported immediately upon arrival.
FORCE MAJEURE
Agent and Property owner are not liable for interruptions caused by events beyond their control, including but not limited to natural disasters, weather, construction, or governmental actions. No refunds will be issued for such occurrences.
HOT TUBS & POOLS
- Use of hot tubs and pools is limited to registered guests.
- Guests must shower before use and refrain from adding any oils, lotions, or fragrances.
- Children must be supervised at all times; use is at Guest’s own risk.
Association-Maintained Facilities: Operation schedules and maintenance are determined by the condominium association. Agent is not responsible for outages or closures. Operations vary significantly during non-ski season months with most association-maintained facilities closed during non-ski season months. No refunds can be provided for pool and hot tub closures.
Privately-Maintained Properties: Hot tubs are inspected prior to guest arrival to ensure proper operation and water quality. In the event of a malfunction that cannot be promptly repaired after Guest notifies Agent, a refund equal to 15% of the nightly lodging rate will be issued for each night the hot tub remains unusable. Guest must allow Agent reasonable access and opportunity to inspect and attempt repair before any refund is processed.
Guest assumes all risks associated with hot tub or pool use and agrees to release and hold harmless the Property owner and Agent from any related liability.
IN CONSIDERATION OF THE ACCEPTANCE OF THIS AGREEMENT, THE UNDERSIGNED INTEND TO BE LEGALLY BOUND FOR MYSELF, MY HEIRS, EXECUTORS, AND ADMINISTRATORS AND DO HEREBY RELEASE ANY AND ALL SPONSORS OF THIS LODGING FACILITY AND THEIR REPRESENTATIVES, SUCCESSORS, AND ASSIGNS, FROM ANY AND ALL LIABILITY ARISING FROM INJURIES, INCLUDING ILLNESS AND DEATH, THAT MY FAMILY, GUESTS OR I MAY SUFFER AS A RESULT OF MY USAGE. MY SIGNATURE ON THIS AGREEMENT IS EVIDENCE I SHOULD CHECK WITH MY DOCTOR TO SEE IF HOT TUB USE IS SUITABLE FOR ME AND MY CHILD/FAMILY/GUESTS/WARD’S HEALTH AND PHYSICAL CONDITION. I HAVE CAREFULLY READ THIS AGREEMENT, RELEASE & WAIVER LIABILITY, AND I KNOW ITS CONTENTS. I ADMIT RECEIVING AND ACKNOWLEDGING HOT TUB SAFETY RULES ABOVE.
IMMEDIATE REMOVAL
Violations of this Agreement, including occupancy limits, pet policies, smoking, noise, or unauthorized events, will result in immediate eviction without refund.
LIABILITY & HOLD HARMLESS
Guest agrees to defend, indemnify, and hold harmless Maine Ski Lodging Co. and the Property owner from any claims, injury, or loss arising from Guest’s use of the Property or amenities.
LINENS
Property beds will be made with clean sheets prior to the arrival date including enough towels, washcloths, pillows, and blankets to accommodate each guest.
LOCKED AREAS
Locked closets, rooms, and other storage areas at the property for which guest is not provided key shall be off limits to guest.
LOST OR MISSING ITEMS
Agent is not responsible for lost/missing items. A handling fee of $25 will be charged to return missing items in addition to actual postage.
MAINTENANCE & SERVICE REQUESTS
Maine Ski Lodging Co. shall respond to service requests for televisions, cable/satellite programming, WiFi, appliances, other entertainment amenities etc. as quickly as reasonably possible which sometimes could be during the following day. Neither Maine Ski Lodging Co. nor the property owner shall issue rebates or refunds to guest for any operational failure of any of the above amenities, as Maine Ski Lodging Co. shall make a reasonable good faith effort to ensure the property is maintained to the highest standard.
NOISE & DISTURBANCES
- Quiet hours are 10:00 PM to 9:00 AM.
- Excessive noise, parties, or disturbances may result in immediate removal without refund and additional fees of $75 per complaint.
OWNERSHIP TRANSFER
If the Property is sold before or during the rental period, Agent may reassign Guest to a comparable property or issue a full refund. This shall be Guest’s sole remedy.
PARKING & WINTER CONDITIONS
Some roads and driveways may require 4-wheel drive or winter tires. Snow removal is handled by third-party contractors; Agent cannot guarantee plowing times or vehicle assistance.
For properties that require permitted parking, Maine Ski Lodging Co. will provide guest temporary parking permits at the time of check-in. Slopeside Sunday River condominium associations such as Brookside, Cascades, Locke Mtn., Sunrise, White Cap, etc. are issued a limited number of parking permits and requests for additional parking permits cannot be accommodated.
PAYMENT TERMS
- Accepted Payment Methods: Most major credit and debit cards.
- Deposit: A minimum of 50% of the total rental amount is due at the time of booking.
- Final Payment: The remaining balance is due 30 days prior to the arrival date.
- Failure to Pay: Reservations not paid in full by the due date may be cancelled without refund.
PET POLICY
- Pets are not permitted unless explicitly noted as “pet-friendly” in the property listing.
- Unauthorized pets will result in immediate removal without refund and additional cleaning fees.
- Sunday River slopeside condominiums (Brookside, Cascades, Locke Mtn., Sunrise, White Cap, South Ridge, Merrill Brook, etc.) do not allow pets under any circumstance.
POLICE ENFORCEMENT
Any police enforcement actions by the town, county, or home/condominium association may result in immediate removal without notice and forfeiture of all amounts paid.
POWER OUTAGES
Central Maine Power works to restore power as soon as safe and possible, visit cmpco.com to view a list of reported power outages and restoration timing estimates. Agent is not able to expedite the restoration process or provide refunds due to power outages.
PROPERTY ACCESS
Guest will receive an electronic access code 7 days prior to arrival.
PROPERTY USE
- Subletting or transferring reservations is prohibited.
- Properties must be used for residential purposes only.
- Guest must maintain the Property in good condition and promptly report any damages.
PROHIBITED ITEMS & ACTIVITIES
- Fireworks / Sky Lanterns: Strictly prohibited; $500 fine if evidence is found.
- Firearms / Weapons: Not permitted on the Property.
- Smoking / Vaping: Prohibited indoors. Evidence of smoking will result in eviction and cleaning fees.
- Illegal activity: Grounds for immediate removal without refund.
RATES & ERRORS
Agent reserves the right to cancel any reservation within 24 hours of booking if an incorrect nightly rate was listed. A full refund will be provided in such cases.
SEPTIC SYSTEMS (IF APPLICABLE)
Only toilet paper may be flushed. Do not dispose of wipes, grease, or chemicals. Follow all posted usage guidelines.
SKI-IN / SKI-OUT
Properties advertised as ski-in / ski-out are located at Sunday River Resort and are designed to be accessible by skis provided there is enough snow. Please be aware that Maine Ski Lodging Co. or property owner cannot control snowfall amounts, natural or artificial, and if the property is not ski-in / ski-out due to weather conditions or resort closure, lack of snow, or other obstruction, Agent is not responsible for any refund.
SUPPLIES
Property will have a start-up supply of household consumables (paper towels, toilet paper, garbage bags, hand soap and dishwashing detergent etc.); guest is responsible to replenish this supply during their stay, including propane or charcoal for properties with grills.
Personal toiletries including shampoo, conditioner, body wash, etc. are not provided and are the responsibility of the guest.
By submitting payment and/or taking possession of the Property, Guest acknowledges that they have read, understood, and agree to the terms of this Rental Agreement.
